Compliance Pressure and Process Silos: Why Companies Need to Act Now

Regulatory requirements such as NIS-2 and DORA are putting pressure on organizations to thoroughly document their IT processes and make them resilient. At the same time, companies must comply with ESG reporting requirements, which demand transparency across the entire value chain. In hybrid IT landscapes comprising SAP, Microsoft, legacy systems, and cloud services, data silos emerge that make it difficult to demonstrate compliance and increase risks.

  • NIS-2: An EU directive requiring companies in critical sectors to comply with strict cybersecurity measures and reporting obligations to protect the general infrastructure.

  • DORA: An EU regulation that ensures that the financial sector remains resilient even in the event of serious IT disruptions and uniformly manages digital risks.

Professional Process Management with the BIC Platform

Business Process Management (or BPM for short) is no longer a compulsory exercise. It is the basis for verifiable Governance, efficient automation, and data-based transformation. Those who do not design processes transparently and monitor them continuously lose touch with regulatory standards and miss out on potential for cost reduction and speed.

The BIC Platform Suite from GBTEC offers an end-to-end solution, from process modeling to Enterprise Architecture Management (EAM) to automated execution and Process Mining.

Arvato Systems is your experienced integration and consulting partner we embed this technology into your existing IT landscape and help you identify the modules you really need.

What Is the BIC Platform?

The BIC Platform from GBTEC is an integrated suite for business process management, enterprise architecture management, and process automation. It consists of five core modules: BIC Process Design for BPMN-compliant process modeling, BIC EAM for IT landscape management, BIC Process Execution for no-code automation, BIC Process Mining for data-driven analysis of current processes, and BIC GRC for governance and risk management.

With the platform, you can achieve seamless compliance documentation, reduce throughput times through automation, and create transparency across process and IT dependencies. The core strengths lie in the seamless integration of all modules, AI-supported modeling, outstanding usability, and preconfigured interfaces to SAP systems. The platform combines strategic planning with operational implementation in one solution.

  • Designing transparent processes

    BIC Process Design

BIC Process Design is the core element of BIC Platform for standards-compliant process modeling. The solution supports BPMN 2.0 and enables collaborative documentation across departmental and site boundaries. versioning and approval workflows ensure that process changes remain traceable and compliance requirements are met.

Document management enables the central storage of work instructions, guidelines and approval protocols that are directly linked to process steps. In addition, a flexible interface system allows direct connection to other systems. This allows process models to be synchronized quickly and easily.

For companies that not only want to document their processes, but also analyze them, BIC offers Process Design Simulation functions. This allows bottlenecks, throughput times and resource utilization to be checked before implementation. This reduces risks in the event of process changes and enables data-based decisions.

Arvato Systems supports you during implementation with workshops on process architecture, assists you in modeling critical processes and trains your teams in the BPMN methodology. Arvato Systems also supports you in the seamless integration of your BPM environment with other systems. This includes connecting to EAM tools such as SAP LeanIX, wiki systems like Confluence or to SAP Cloud ALM.

Please contact us if you would like to integrate the BIC Process design content in your corporate ChatBot. Our goal is that you BIC Process design not as an isolated tool, but as an integral part of your processGovernance understand and use it.

  • Managing the IT landscape

    BIC EAM

BIC EAM creates transparency across applications, interfaces, technologies and data flows in your IT landscape. For companies with mature system landscapes, this is the basis for identifying redundancies, planning TCO optimizations and preparing migrations in a structured manner.

The solution maps dependencies between business processes and IT systems. This enables impact analyses when systems are replaced or consolidated. IT managers and enterprise architects can see which applications support which processes and where critical single points of Failure

BIC EAM supports operational enterprise architecture, in which IT architecture models are not used as static documentation but as a management tool. Governance workflows ensure that architecture decisions remain traceable and are aligned with strategic goals.

Arvato Systems brings experience from integration projects SAP, Microsoft and hybrid cloud environments. We help you to connect BIC EAM with your existing CMDB or IT service management so that architecture models always remain up-to-date and serve as a basis for transformation projects. We will also be happy to advise you on the quickest way to integrate your baseline architecture into the tool so that you can start making efficiency gains straight away.

  • From model to automation

    BIC Process Execution

BIC Process Execution converts modeled processes into executable workflows. The No code and low-code platform enables specialist departments to configure simple automations themselves without having to rely on IT development resources. Digital forms, DMN Decision Engines and the integration of third-party systems via open REST APIs accelerate the implementation.

For compliance-critical processes, BIC offers Process Execution guided workflows that ensure that all steps are run through in the specified order. Real-time monitoring shows where processes stall and enables proactive control.

The integration withRPA-Tools like UiPath or Automation Anywhere enables automation recurring tasks, while BIC Process Execution controls the higher-level process logic. This prevents the creation of isolated RPA bots that are difficult to maintain and do not offer end-to-end transparency.

Arvato Systems advises you on the selection of suitable processes for automation. Not every process is suitable for No code automation. We help you to Quick Wins that can be implemented quickly and to strategically plan more complex automations. In doing so, we integrate BIC Process Execution into your existing SAP or Microsoft landscape so that data flows seamlessly between systems.

  • Analyze actual processes based on data

    BIC Process Mining

BIC Process Mining uses event logs ERP systems, CRM applications or ticketing tools to automatically recognize how processes work in practice. This closes the gap between documented target processes and the reality of operations.

The solution offers Conformance Checking, with which deviations from the target process can be identified. Variant analyses show which process variants occur most frequently and where inefficiencies arise. Performance mining analyzes throughput times, processing times and waiting times in order to quantify bottlenecks.

For SAP environments, BIC offers Process Mining a plug-and-play interface that extracts event logs directly from SAP systems. The integration in BPMN 2.0 makes it possible to compare discovered actual processes directly with modelled target processes and prioritize improvement measures.

Arvato Systems supports you in Process to establish mining not as a one-off analysis project, but as continuous monitoring. We help you to select the right processes, consolidate event logs from heterogeneous systems and build dashboards that provide process owners with real-time transparency. With our proven SAP-Connector you can also open up your SAP systems in no time at all and can manage processes such as Order-To-Cash analyze directly.

Why Purchase BIC Licenses Through Arvato Systems?

Transparency in costs and performance

Advice before technology

Enablement beyond the purchasing process

Technological expertise beyond BIC

Technical integration & ecosystem of the BIC Platform

Our Pre analysis determines which modules you actually need and prevents Overprovisioning. Instead of a flat-rate platform license, you receive a tailored configuration that fits your requirements.

The transparency also extends to the license models. We explain the differences between administrator, editor and author licenses and show you which variant is the most economical for your organization. We explain when you should use an Advanced security package and under which conditions a private cloud is relevant for you. If required, we can also assist you with subsequent license adjustments if your requirements change.

Arvato Systems sees itself as a tool-agnostic process consultant. This means that we first analyze your processes, your IT architecture and your business goals before we recommend a technology. In many cases, BIC is the right choice, but we are not a pure product vendor. If other solutions are a better fit for your requirements, we'll tell you.

With 20 years of experience in business Process management and system integration, we bring an understanding of the challenges that go beyond pure software implementation. We have developed process architectures for global Supply Chains, implemented compliance frameworks in regulated industries and accompanied IT transformations in hybrid landscapes.

Our holistic view of IT architecture and business processes ensures that BIC is not introduced in isolation, but as part of an end-to-end process and data architecture. We connect BIC with your existing SAP landscape, your Microsoft ecosystem or your Cloud platforms so that no new silos are created.

After licensing, the real work begins for us. Arvato Systems offers training, Change Management and integration into existing SAP or Microsoft environments. We train your teams not only in the operation of the software, but also in the underlying methods and concepts such as BPMN, Enterprise Architecture Management and Process Mining.

Change Management is not a buzzword for us, but a structured approach to creating acceptance. We know that process management initiatives fail when specialist departments perceive the tool as an additional burden. That's why we work with you to develop use cases that deliver added value quickly and build up expertise step by step.

The integration into existing systems takes place via open interfaces. We connect BIC with SAP, Microsoft or your RPA tools so that data flows seamlessly and there are no media disruptions. We make sure that your IT-Governance requirements are met and no shadow IT is created.

Arvato Systems not only supports you with the introduction of BIC, but also orchestrates a broad technology portfolio that digitizes your processes holistically. This includes in particular Robotic Process Automation (RPA) and (Gen-) AI-based use cases that we use specifically where they create real added value. RPA automates repetitive processes along the process chain, while GenAI takes decision support, knowledge work and interaction to a new level - always embedded in your existing process architecture.

Thanks to our experience in implementing enterprise-wide automation programs, we dovetail BIC, RPA and GenAI to an integrated transformation platform. Processes are not only documented and analyzed, but also actively executed, optimized and intelligently supported. The result is a digital transformation that goes beyond transparency and measurably increases the speed, quality and scalability of your organization.

The BIC Platform is designed for hybrid IT landscapes. The integration with SAP makes it possible to orchestrate process automation in SAP environments without having to adapt the SAP core instances. For Microsoft environments, BIC can be integrated with Power Platform so that workflows in Teams or Dynamics 365 can be executed.

Interfaces to ERP systems, CRM applications and HR systems are created via open REST APIs or preconfigured connectors. Arvato Systems supports you in designing these integrations in such a way that your IT-Governance requirements are met and no new dependencies are created that limit your flexibility.

Use Case: Energy Cooperative - Company-Wide Introduction of BPM and BIC Process Design

Initial situation

A North German Energiegenossenschaft documented its process landscape with an outdated tool that did not offer BPMN-compliant export options. Many processes had not been maintained for years. There was a lack of transparency regarding processes and responsibilities. The existing tool landscape no longer met the organizational and security requirements.

Solution with BIC Platform

Arvato Systems carried out a structured analysis of the existing process organization using a standardized BPM checklist. On this basis, BIC Process Design was introduced as a central platform for process modeling and maintenance. The processes were gradually standardized according to BPMN 2.0 and made transparently accessible for specialist departments. The analysis showed that the Advanced Security Package for Governance, access control and the protection of sensitive process information was necessary. Arvato Systems trained administrators, key users and specialist departments to ensure a fast, productive start.

Result

The comprehensive consulting and qualification by Arvato Systems enabled a total saving of 75,000 euros. The energy cooperative established an up-to-date, audit-proof and company-wide available process landscape. BIC Process Design today is the foundation for efficient collaboration, secure process management and continuous improvement.

Use Case: Logistics Service Provider - Migration of 10,000 Process Models to BIC Process Design

Initial situation

An international logistics service provider wanted to switch from an old BPM tool to BIC Process Design change. The planned migration of several thousand process models could not be managed alone in terms of organization, methodology and technology. The tight schedule up to the shutdown of the legacy system posed a considerable challenge.

Solution with BIC Process Design

Arvato Systems developed together with the logistics service provider a Governance- and migration concept (migration consulting), which clearly defined modeling standards, responsibilities and release processes. On this basis, around 10,000 process models were migrated from the previous BPM tool to BIC Process design automatically transferred. The automation ensured that content was transferred consistently, completely and in an audit-proof manner. At the same time, Arvato Systems developed company-specific training and communication concepts to involve users at an early stage and ensure a smooth transition.

Result

The automated migration saves around 60 Full-Time-Equivalentperson days of manual effort. The switch to BIC Process Design was completed in time for the shutdown of the legacy system. The users were able to work productively straight away and accepted the new platform from the outset. BIC Process design today forms the stable basis for uniform, scalable process management in the company.
