Why an Independent Backup Is Essential for Microsoft 365

Microsoft guarantees the platform's availability but is not responsible for the complete backup of your content. The responsibility for the recoverability of data lies with you in the shared responsibility model - not with Microsoft.

An independent backup supplements the standard functions available in Microsoft 365 and ensures that data can be restored in a targeted manner even in the event of operating errors, misconfiguration, insider risks or cyberattacks.

For many organizations, Microsoft 365 serves as the business-critical foundation for communication and collaboration. If access to content or workspaces is restricted, it directly impacts operational processes and compliance with regulatory requirements.

Our backup solution for Microsoft 365 supports you in accessing data as required - from individual objects to complete Microsoft 365 structures including the associated authorizations.

What a Resilient Backup for Microsoft 365 Needs to Do

A functional backup for Microsoft 365 fulfills several requirements at the same time:

  • Complete coverage of the relevant workloads
  • Restoration of individual objects and complete structures
  • Obtaining authorizations and metadata
  • Separation from the production system
  • Support for regulatory requirements

Your Benefits with Our Independent Backup Solution for Microsoft 365

Protection against data loss

Reliable recovery after accidental deletion, overwriting, misconfigurations, insider incidents or cyber attacks.

Independent backup environment

Data protection separate from Microsoft 365 through multi-cloud resilience in the European Google Cloud.

Granular and complete recovery

Recovery of individual elements through to the complete recovery of entire structures including context, for example teams, sites and mailboxes.

Support for compliance & storage

Archiving and export functions to fulfill regulatory requirements and internal guidelines.

Automation via Entra ID

Consistent automation of user and group management as well as offboarding processes.

Scalability for enterprise environments

Designed for large tenants and growing data volumes; actual performance depends on data volume and platform-specific limits.

Enterprise Architecture: A Multi-Cloud Strategy for Secure Microsoft 365 Backup

A resilient backup must be technologically self-sufficient. Our architecture consistently separates the backup and production system to protect you from far-reaching failures or ransomware scenarios.

  • Multi-cloud resilience

Your backups are located in an independent security domain in the European Google Cloud. An incident in the Microsoft tenant therefore has no impact on your backups.

  • Isolated identities

Access is via separate service accounts. A compromised admin account in the Office tenant therefore does not mean the loss of your backup history.

  • Manipulation protection

By using immutable storage or WORM storage, backups are protected against deletion and subsequent modification.

Performance & Recovery Times for Backups for Microsoft 365

The solution is designed as a scalable backup architecture that supports resilient data backup and recovery even in large Microsoft-365-tenants -for example with more than 10.000 users - supportützt.

  • Restore including structure

Restores include the context for teams, sites and mailboxes as well as the associated authorizations so that workspaces can be used again immediately.

  • High-Speed Recovery

To reduce recovery times, typical provider-side throttling is supported, especially in enterprise environments.

  • Search, selective restore & export

Individual data or libraries can be searched for, selectively restored or exported for external purposes.

Microsoft 365 Backup Compared to the Arvato Systems Backup Solution

Comparison aspectMicrosoft 365 Backup (native)Arvato Systems Backup Service
Resilience & security domainBackups remain in the Microsoft Trust Boundary and thus in the same cloud ecosystem as the primary data; tenant compromise or misconfiguration can affect both primary and backup data.Backups are stored in a separate security domain from your Microsoft-365-tenant in the European Google Cloud; tenant-wide disruptions or compromised admin-accounts do not directly access the backups.
Workloads & Restore granularityFocus on Exchange Online, OneDrive and SharePoint; recovery primarily at mailbox, site or account level with granularity and retention limits documented in the preview.Cover additional Microsoft 365 workloads such as Teams contexts, Entra ID, Copilot interactions or Power Platform; granular recovery of individual objects and versions including context without having to reset entire containers.
Ransomware & tamper protectionUses internal mechanisms such as versioning, recycle bin, retention and Microsoft 365 backup, but does not provide true immutability separate from identities; attacks on privileged accounts can also compromise recovery paths.Use of immutable storage (WORM) in a separate cloud-environment and with isolated service accounts; backup data is undeletable and unchangeable within the defined period and thus protected against manipulation by compromised identities.
Governance, storage & exportRetention behavior and export options follow the Microsoft product logic; the data remains in the Microsoft ecosystem and is subject to the retention limits defined there.Flexible retention policies and export to standard formats (e.g. PST, MBOX, HTML) to support audits, eDiscovery, long-term archiving and regulatory requirements - with clearly defined data residency in European data centers.
Performance & ThrottlingBackup and restore are tied to Microsoft-internal limits, backup frequencies and API throttling; the control options lie entirely with the platform.Architecture with controlled parallelization and monitoring of Microsoft limits; restore processes are planned and tested in such a way that even large environments can be reliably restored despite throttling, including regular restore tests to validate RTO/RPO.

Typical Risk Scenarios in Microsoft 365 Environments

In practice, risks rarely arise in isolation, but as a combination of human error, technical dependencies and security incidents. These include unintentional deletion of data, misconfigurations, compromised administration accounts or ransomware attacks. In these situations, an external backup enables targeted restoration to a consistent state, regardless of the current state of the Microsoft tenant.

Recovery in Practice: This Is How the Restore Works

The recovery process is structured: First, relevant data is specifically searched for. Individual objects or complete structures are selected and restored to their original location or to an alternative destination, as required.

In large environments in particular, it is not only the restore itself that is crucial, but also the ability to work reliably despite throttling on the provider side. The actual performance depends on the data volume, tenant configuration, and Microsoft's limits and should be validated through regular restore tests.

Frequently Asked Questions About Backup for Microsoft 365 from Arvato Systems

  • As soon as employees leave the company and their Microsoft 365 licenses are deactivated, the active backup ends automatically. However, data that has already been backed up is retained in the backup.

In detail, this means that no new backups are created once an account has been deactivated; however, existing data remains stored in accordance with your individual retention and archiving guidelines. Manual individual backups before deprovisioning are therefore largely superfluous, and the data is still available for audits, succession planning or compliance checks.

  • The backup data is stored in highly secure Google Cloud data centers, preferably in European regions. All data is encrypted during transmission and storage.

The specific storage location is firmly defined and documented as part of the setup process in order to meet your data residency and compliance requirements. Recognized security and compliance standards such as ISO 27001 and SOC 2 are used to secure the infrastructure; the exact design is verified on a project-specific basis and can be verified in an audit-proof manner if required.

  • The backup solution helps to detect suspicious activities at an early stage and to restore data to a consistent state prior to the incident in the event of an emergency. This ensures business continuity even in the event of security incidents. Specifically, AI-supported ransomware protection is used here, which detects anomalies and unusual patterns in data traffic at an early stage and stops the backup if there are signs of a compromise and informs the contact persons on file.

In the event of damage, you can access defined backup points and restore affected data in a targeted manner. The underlying architecture is optimized for enterprise environments in particular, so that restores can be carried out reliably even under provider-side throttling.

  • Storing backups outside the Microsoft infrastructure significantly increases resilience because the primary system and backups are located in different security domains. This means that backups remain protected even in the event of tenant-wide disruptions or compromised identities.

The organizational and technological separation from the Microsoft tenant makes it much less likely that misconfigurations or successful attacks on administrative accounts will affect primary data and backups at the same time. This multi-cloud approach enables independent, controlled recovery and helps to restore business continuity more quickly, even in critical crisis scenarios.

  • Backup is primarily used for operational recovery after data loss or security incidents, while archiving is aimed at the long-term, audit-proof storage of information. Both approaches can be combined in the solution.

A backup is geared towards short-term restore scenarios and the lowest possible RPO/RTO values in day-to-day business. Archiving, on the other hand, addresses legal and regulatory requirements, such as defined retention periods or obligations to provide evidence. By configuring the solution accordingly, you can map both operational resilience and long-term, legally compliant storage with export options.

  • The architecture is specially designed for restore scenarios in large Microsoft 365 tenants and takes into account typical Microsoft throttling mechanisms. However, specific recovery times always depend on your environment and should be tested regularly.

Factors such as the total volume of data, the structure of the tenant, parallel workloads and platform-specific limits influence the actual performance. The solution uses optimizations and parallelization to keep restores stable even with larger amounts of data, but cannot overcome the technical limitations of the Microsoft platform. We therefore recommend regular restore tests to realistically validate your target values for RTO and RPO and to sharpen them if necessary.

  • Yes, Copilot interactions can be fully included in the scope of the backup. This keeps the use of Microsoft 365 Copilot transparent and traceable if necessary.

Both the prompts used and the responses generated are saved so that AI-supported decision-making processes are documented. The data can be evaluated for internal audits, transparency reports or regulatory verification requirements, for example. The exact scope of services is determined depending on your agreed scope and the technical availability in the respective project.

  • Yes, in addition to complete structures, the solution also supports the targeted restoration of individual emails, files or other objects. Backups are searchable and can be restored to the original storage location or an alternative destination.

In the portal, you search the backup statuses for specific content - such as certain messages, documents or chats - and then select the desired elements for the restore. In contrast to many native on-board tools, where SharePoint backups are often only possible as a complete restore of entire structures, the solution allows a selective, controlled restore of individual elements without overwriting existing content in the target area.
