There are high expectations for artificial intelligence in everyday work, yet there remains significant skepticism about whether it will live up to its promises. At EWE AG, both sides came together: There was a willingness to use Microsoft 365 Copilot, and the licenses were issued faster than planned. But simply issuing a license doesn’t necessarily mean that someone is actually using the tool.

Whether an AI investment has an impact is only determined afterward: in employees’ day-to-day work. EWE wanted to actively shape this process and brought Arvato Systems on board to help. Together, they developed an adoption program that combines technical implementation, change management, and ongoing training, permanently integrating Copilot into the daily workflows of over 3,000 users.

Project Overview

Initial Situation

EWE rolled out Microsoft 365 Copilot as early as 2025. The approximately 400 planned licenses were allocated within a few days, and the number of users continued to grow steadily. Today, over 3,000 employees work with the paid premium version, and more than 1,800 also regularly use Copilot Chat. With this pace of growth, the need for guidance increased: simply opening up access was not enough. What was needed was guidance to safely lead employees and the project team through the change and turn individual pilot users into advocates for the entire organization.

Vision

Copilot was intended to contribute to EWE’s digital transformation strategy and strengthen cross-functional collaboration. To achieve this, employees needed to gain confidence in the technology and integrate it naturally into their daily work. EWE therefore put people at the center of the effort: Targeted measures helped them recognize the practical benefits, develop their own use cases, and share their knowledge. The goal was to create an organization that continuously learns and views AI as an integral part of modern collaboration—not as a short-lived project.

Solution

The process began with an assessment of the organizational and technical requirements. Based on this, Arvato Systems tailored the measures precisely to the target groups: from end users and key users to selected departments. Instead of commissioning individual training sessions, EWE opted for a comprehensive concept aligned with the Copilot Journey. An experienced change management expert guided the rollout. A vibrant user community, basic training sessions, and office hours helped lower the barrier to adoption. A network of 50 champions and training sessions for Light Agents integrated Copilot into business processes.

Our Services

Arvato Systems supported EWE with a comprehensive change and adoption strategy. The first phase of the project, which was completed at the end of June 2026, focused on empowering employees, building a community of champions, and embedding new AI-supported ways of working:

What Happens Next?

With the successful launch of Microsoft 365 Copilot, EWE’s development is far from over. For several months now, the company has been working on comprehensive enablement for Microsoft Copilot Studio to take the next step toward a company-wide agent ecosystem. In doing so, EWE is relying on the proven standards of its previous adoption initiative: targeted training, community exchange, and ongoing support—all to ensure that agents are integrated even more deeply into functional areas and business processes in the future.
